Field service scheduling & dispatch automation
A full calendar is not a workable day.
The appointments fit on screen. Then a job runs long, the next address is across town and someone has to rebuild the afternoon. We help turn incoming work into a schedule your team can actually deliver.
Job windows, business rules and a dispatcher who stays in control.
Start with one process. Keep the tools that already work.
From booked jobs to a workable day
- Job details + service windows
- Crew + travel constraints
- Proposed day + visible conflicts
- Dispatcher approves the plan
A proposed day, checked by the person responsible for delivering it.
01 / Where work gets stuck
Your customers book jobs. Your team has to make the day work.
A fixed appointment time can be the wrong promise for recurring yard care, maintenance or other work organised around routes. The real constraints include access, service duration, crew capability, travel and jobs that need to happen within a window.
When those rules live in a dispatcher’s head, each booking creates more coordination. Someone checks the address, moves a slot, messages the crew and explains the change to the customer. A cancellation sends them through it again.
We start with how your team actually plans a day. Then we connect the booking details, scheduling rules and review steps that currently depend on someone remembering everything.
02 / A process your team can run
Make the next step part of the system.
Capture the constraints before booking
Collect location, service type, expected duration, access details and acceptable job windows. Separate a requested slot from a confirmed commitment.
Prepare a practical proposed schedule
Apply agreed rules for territories, availability, job duration and travel grouping. Make conflicts visible instead of silently squeezing another job into the calendar.
Let the dispatcher approve the day
Show the proposed sequence and the exceptions that need judgement. Your dispatcher can accept or adjust it before assignments and customer updates go out.
Handle changes without losing the thread
Flag cancellations, overruns and missing information. Route changes to an owner and keep the confirmed schedule, crew instructions and customer record aligned.
03 / Define the work before the build
A clear scope. An owner. A way to check it.
What we scope with you
- A map of booking, assignment and rescheduling responsibilities
- Configured job windows, duration assumptions and territory rules
- A proposed schedule with conflicts and exceptions visible
- Dispatcher review before assignments are confirmed
- Connected job records, notifications and change history
- A documented handover using real scheduling scenarios
A good fit when
- Recurring field-service work with repeatable scheduling rules
- Teams coordinating jobs across locations or service windows
- A dispatcher spending time reconciling bookings and crew plans
What needs a different approach
- A standard booking calendar already handles the whole job
- Every job is unique and the planning rules are still undefined
- You need a specialist fleet-optimisation platform or emergency dispatch system
Measure the work, including the checking.
We agree a baseline and targets for your process. These are the signals to compare before and after, not promised results.
- Time spent preparing the daily schedule
- Manual changes after a schedule is confirmed
- Jobs missing information at assignment
- Travel time and window adherence, where reliable data exists
04 / Relevant work
The build behind the approach.
Built experience: business rules connected to booking
Our roofing platform connects location, service territories, configurable estimating rules, scheduling and CRM handoff. That is relevant delivery experience for the booking side of this work. Crew dispatch and route planning would be scoped and tested for your operation.

Fair questions.
Can we offer service windows instead of fixed appointment times?
Yes, where your booking tools support them. We define the window, confirmation rules and customer wording together, then check how those choices carry through to the crew’s schedule.
Will this find the best possible route?
The initial scope can group jobs using agreed location and scheduling rules. We do not promise globally optimal routes. Complex fleet constraints may call for a dedicated routing product integrated into the workflow.
Does the dispatcher still approve changes?
Yes. Approval is part of the proposed workflow. We agree which routine updates may happen automatically and which changes must wait for a person, particularly when they affect a customer commitment.
Can you use our current booking and field-service software?
We check its integration options first. The aim is to connect useful existing tools. If an essential action is unsupported, we explain the limitation before proposing the build.

One process. Five days. About two hours of your team’s time.
The paid audit maps the process, checks the cost and gives you a clear recommendation. If a build makes sense, you get a fixed quote and expected running costs.
The report is yours. The audit fee comes off the build if you go ahead.
