01 / Challenge

The challenge

The more work a field-service business has, the more likely its people are to be on-site when the next potential customer calls. The phone rings while technicians are working. Nobody answers. The customer may simply call another company.

A standard ‘Sorry we missed your call’ text only solves the first few seconds. Someone still has to understand the request, collect the address, estimate the job, determine whether the customer is interested, find an appointment and enter the information into the CRM.

02 / Build

What we built

We built a lead-response system that could continue a missed inbound call through an automated text conversation.

The workflow captured job and property details, applied the business’s estimating logic, showed an expected price range, offered appointment slots and synchronized the resulting opportunity with GoHighLevel.

03 / Workflow

How it works

  1. 01Missed inbound call
  2. 02Immediate SMS conversation
  3. 03Job requirements captured
  4. 04Address and property captured
  5. 05Estimate range produced
  6. 06Customer qualifies themselves
  7. 07Appointment scheduled
  8. 08GoHighLevel updated

04 / Evidence

Outcomes

A missed call no longer had to mean a stalled customer journey.

The system automated eight consecutive stages between a missed call and CRM handoff.

It reduced the number of manual transitions required before an interested caller could become a scheduled opportunity.

It preserved the company’s existing CRM workflow instead of forcing staff to monitor another lead-management application.

A controlled conversion study was not performed, so we do not publish an artificial bookings or revenue uplift.

05 / Value

Why it matters

Speed matters disproportionately when someone is actively looking for a local service provider.

Field-service employees should not have to stop paid work to manage every inbound enquiry. The useful automation is the one that lets the customer journey continue and brings a person in where their judgement is actually needed.

06 / Pattern

Where else it applies

The model fits any inbound call that regularly starts a repeatable qualification process.

Could this work here?

What happens immediately after you miss a call?

If missing a call can mean losing a customer, the important question is not only how many calls you miss. It is whether the customer journey keeps moving.
